Trim Selection Tool

 

Basics

  • The Trim Selection Tool allows you to quickly remove records from a selection (and to make a new selection of the removed records, if desired).
  • The tool is available on the Contacts, Participants, and Donors pages.
  • The tool must be launched from a selection of records and cannot be launched from an open record.
  • After selecting trimming criteria, Users can opt to: 1) Remove from Selection; 2) Create Selection with this Record(s); 3) Create Selection with ONLY this Record(s); or 4) Close if they decide not to remove the records.
  • Trimming criteria is dynamic. For example, you will not have the ability to trim out people who have opted out of receiving bulk emails if no one in your selection has opted out of receiving bulk emails. Currently, the following criteria are available for trimming:
    • Contact Status
    • Marital Status
    • Gender
    • Bulk Email Opt Out
    • Do Not Text
    • Missing Email Address
    • Missing Mobile Phone
    • Age Range
    • Household Position
    • Missing Home Phone
    • Missing Household Address
    • HH Bulk Mail Opt Out
    • Congregation
    • Participant Type
    • Ministry
    • Group Type
    • Group
    • Group Role Type
    • Group Role
    • Current Publication
    • Previous Publication
  • Note: Large selections may take longer to load in the tool.

Initial Configuration

SPoCs can grant user access to the tool via the normal process.

Trimming a Selection

  1. Make a selection. If your selection isn't already on the Contacts, Participants, or Donors pages, transfer your selection to one of those pages.
  2. Tools > Trim Selection Tool
  3. Find the criteria you want to remove
  4. Select Remove
  5. Select the desired Remove Action
    • Remove from Selection: removes the identified records from the current selection
    • Create Selection without this Record(s): Creates a new selection without the identified records. The original selection will remain intact.
    • Create Selection with ONLY this Record(s): Creates a new selection that includes ONLY the identified records.  The original record will remain intact.
    • Close: Closes the Remove Action pop-up window without removing records
  6. After all the desired records have been removed from the Selection, select Close.
