GroupLife Attendance

The Attendance tab in GroupLife displays a list of participants for a selected event, along with their RSVP response, attendance status, and any relevant notes. You can mark attendance for an activity that happened in the past 14 days or is currently in progress.

You can view group participants who are expected to attend an event. You can sort the list by first name, last name, or attendance status.

  • Events: Select an event to mark attendance for. This list displays all events that are associated with a Group record in the Platform that happened in the past 14 days or are currently in progress.
  • RSVP: How the participant responded to the RSVP. Indicates whether you can expect them to attend.
  • Status: Attendance status; see Event Participants to learn all about attendance options. Once attendance is marked, GroupLife displays one of the following statuses:
    • Present - In the Platform, the Event Participant record will have Participation Status set to "04 Confirmed".
    • Not Present - In the Platform, the Event Participant record will have Participation Status set to "05 Cancelled".
  • Notes: Any relevant information about a participant's attendance. For example, if someone didn't attend, you can indicate the reason. Notes entered in GroupLife are added to the Event Participant record.
  • Guests: People who attended this time but are not regular participants and should not be added as such. Once attendance is marked, the number of guests will be recorded for "Guests" on the Metrics tab of the Event record and under Facilities > Event Metrics.

Mark Attendance

Group leaders and primary contacts can mark attendance for their group. The activity you select must be within one hour of the start time or must have occurred within the past 14 days.

  1. In GroupLife, open your group.
  2. Click the Attendance tab.
  3. Select the event to mark attendance for.
  4. Select the checkbox next to the participant who attended the event. If everyone attended, select the checkbox at the top of the list to mark all participant checkboxes.
    • Selecting the checkbox marks attendance as "Present" in GroupLife and "Confirmed" in the Platform.
    • Clearing the checkbox updates the attendance to "Not Present" in GroupLife and "Cancelled" in the Platform.
  5. If needed, add a note about a participant's attendance. These will be added to the Event Participant record.
  6. If any guests attended and are not listed, enter the number in the Guests field. This will be recorded in the Platform as a Metric for this event, associated with this group.
  7. Click Mark Attendance.
Did Not Meet

If an admin allows, you can indicate that an activity did not happen from the Attendance tab. Select the event, then click More at the top of the list, and select Did not meet.
